What does an archive contain?
Both the archive on USB and the Cloud archive contain the content of the Vault from a particular role perspective. Besides all the content (folders/documents) and additional reports, there is also always an index report in the zip. file.
What do we mean by role perspective? By a role perspective we mean the role in the Vault you would like to copy to the archive on USB and optionally, to the Cloud archive with its set permissions related to the content and reports.
Choosing a Vault Admin perspective will give you the most complete overview of the Vault and its data and also an audit log. When selecting a different role perspective, let's say a buy side role, the archive will only contain the data that was also accessible to this role in the Vault.
The following reports can be selected to add to the Archive: Q&A report: The Q&A report is an Excel file which contains all the questions and answers in the Q&A, available to the role perspective selected.
Activity report: The document activity by user report contains an overview of all content actions in the Vault, performed by users. The users visible in this report depend on the role perspective.
Permission report: The permissions report shows all set content permissions: folders, documents and placeholders of the Vault for either a a specific role or all roles (when selecting a Vault Admin role perspective).
User report: The user report contains an overview of all users in the role of the chosen perspective, active and inactive. In the Vault Admin perspective all users of the Vault will be displayed in this report.
The Archive comes with a Comfort Letter. This comfort letter states when the archive was created by Virtual Vaults, its contents and a hash code to prove its validity. Visit the article Hash code to learn more about this.
