Whenever new items are being uploaded, created or moved to a new destination, Admins and Managers can decide how permissions should be applied to those items. This ensures that sensitive documents are always shared with the correct users and helps prevent accidental access to confidential information.
Permission settings when uploading new items
- Publish: Select this option to make the items available to users based on the current permissions of the destination folder. The window indicates how many buy side roles will have access to the items once published. Use this option when the destination folder already has the correct permissions in place
- Permission settings - Keep hidden: Select this option to hide the items from users in all buy side and sell side roles (until permissions are manually set). This is useful when document require additional review or when permissions still need to be decided upon
Note: Content uploaded, created and moved items by Contributors always use the destination folder permissions from the destination folder.
Best practice for buyer specific folder setup
When working with multiple buyer groups, we recommend the following setup to ensure a clear and secure structure:
1. Create a dedicated folder for each buyer group in Other and use neutral names
2. Set permissions at the folder level for each buyer folder, so that all documents inside automatically inherit the correct access rights
3. Upload documents only in the correct buyer folder to ensure that they inherit the intended permissions and are only accessible to the relevant buyer group
