Setting statuses in Workspace
How to use different statuses in Workspace and when to use which?
Within Workspace it is possible to set a status to your folders and/or files to let other users know what the current "action" is for this item.
You can also use the status to easily keep track of the data collection progress.
After importing/uploading a folder structure, tasks can be assigned to users in the Workspace, requesting them to provide the correct documentation.
To let the other users know what the progress is, set a status to inform them.
There are 5 statuses to choose from, each with a different purpose:
1. To-do: use this status to inform other users the task is still open to be completed.
2. In progress: use this status to inform other users you are working on this task by
gathering the file(s)/information necessary.
3. On hold: this status can be used when the progress of providing the corresponding information is being paused due to whatever reason. This could be caused by either a delay or reconsideration for example.
4. Review: when setting this status, in combination with assigning it to a different user in the Workspace, you are asking this “reviewer” to check the provided
information/files for this task. After this check the task can be marked as Done.
5. Done: when the files in the task have been checked by other guests/Admins in the Workspace, the status can be changed to Done to inform all others that this task is
complete. When a task is marked as Done, no changes can be made anymore
unless an Admin or guest changes the status back to “In progress”.
6. Not applicable: is the requested item not applicable, not available, will be shared at a later moment or via a different way? Use the "Not applicable" status for the item to inform other users about this. After an export, the items with this status, will have (N/A) added to their title in the Data Room.
Progression bar:
The progression bar on top of the data collection will keep track of the percentage of your collection that has been completed. If you click on the progression bar, it will give you a good overview of how many tasks still need to be completed and how many items contain which status. Click on each status and filter directly in the data collection on those files!
