Excel files remain in their native format when uploaded to the Data Room, which means you can keep working with fully functional spreadsheets. Depending on their permissions, users can either view Excel files up to 25 MB directly online, or download them for offline use. Below you will find the best practices for managing Excel files and their permissions.
Download Excel files toggle
New and uploaded Excel files automatically get Download original permission when a user has access. Use the Download Excel files toggle to allow or restrict downloads for all Excel files at once. This toggle can be found in the permissions screen for buy side roles.
Search Excel files to set permissions individually
To allow downloads for only certain Excel files, find them in the Data Room and set permissions per file:
1. In the search bar, enter the file name or a file extension such as .xls or .xlsx.
2. Click the magnifying glass to start searching.
That's how you get an overview of all Excel files allowing you to review or manage permissions.
Uploading Excel files as PDFs
If you want to share an Excel file as a PDF, convert it before uploading it to the Data Room. Follow these steps on your computer:
1. Open the Excel file you want to convert.
2. Click File in the top menu.
3. Select Print.
4. Under Printer, choose Microsoft print to PDF (or save as PDF on Mac).
5. Check the page layout and scaling settings if needed.
6. Click Print.
7. Choose a location, enter a file name, and click Save.
8. You can then upload the PDF to the Data Room and set permissions to View online or Download secured PDF.
