Use the Other folder to securely share documents with specific buyer groups without affecting your main document index. This helps you keep your Data Room structured while controlling who can see certain information.
Ideal use cases:

When multiple buyer groups are involved and specific documents need to be exclusively visible to each group, such as:
- Transactional documents
- External communication records (e.g. emails, Teams negotiation sessions, video recordings)
- Avoids revealing the number of buyer groups through gaps in Index numbering. Creating separate folders for each buyer group in the Index would cause numbering gaps, which could unintentionally expose the presence of other buyers and even indicate how many there are.
- Included as part of the disclosed content and archives on USB.
What not to do
Avoid placing your entire folder structure under Other folder, because:
- Items are sorted alphabetically with no ability to rearrange.
- You cannot Mass rename.
- You cannot import Q&A questions.
- By default, users land on the Index view—if everything is in Other folder, the Data Room may appear empty.
Recommended setup process
1. Create a separate folder for each buyer group within Other folder. For guidance, refer to the Add new folders documentation.
2. Set permissions so only the relevant buyer group can access its own folder.
3. Upload the appropriate documents into each folder. You may also upload directly via Q&A if needed.
